So, what’s the role?
We are looking for an Office Coordinator to join our Office and Administration Team, within the Human Resources department. This role is based in Chicago and requires working from our Chicago office five days a week. You will be our go-to office resource, coordinating in-office events for local and remote-based teams to collaborate in person. The Office Coordinator will be responsible for keeping our office tidy, organized, well stocked, engaging, and running smoothly. In addition to supporting our events and planning, you will also be responsible for organizing and ordering our company swag and office supplies. This role may also be asked to assist with other calendaring or office administration tasks as needed.
A day in the life could include:
Maintain a professional, organized, and welcoming office environment.
Keep supplies stocked, break areas tidy, and reservable spaces ready for use.
Track and process supply orders, coordinate deliveries, and ensure proper storage.
Oversee office maintenance, submit work orders, and coordinate service requests.
Communicate with the landlord and building management regarding maintenance and deliveries.
Manage vendor relationships for office services and research new vendors as needed.
Greet visitors and create employee ID badges.
Coordinate new hire welcome boxes, employee gifts, and team-building events.
Assist with planning and logistics for team onsite events.
Manage catering orders, event setup, and post-event cleanup.
Provide backup administrative assistance, including scheduling and calendar management.
Own the company swag program, handling inventory, vendor relations, and shipping.
Oversee mail processing, including virtual mail sorting and FedEx shipments.
Submit and reconcile expenses, ensuring accurate budget allocation.
Utilize office tools like Google Suite (Mail, Sheets/Excel, Docs), Slack, Navan, Airbase, ezCater, and Angus for efficiency.

Sharp problem-solving abilities, considering both the big picture and finer details to ensure seamless operations.

Takes initiative in identifying opportunities for improvement and implementing new processes to enhance office efficiency, organization, and employee experience.
Ability to communicate clearly and effectively, both verbally and in writing, with a variety of individuals.
Bonus Points:
Previous experience in office coordination, hospitality, or a similar administrative role.
Experience in Google Suite, Slack, and office management tools.
