The Mobile for Development team drives innovation in digital technology to reduce inequalities in our world. Singularly positioned at the intersection of the mobile ecosystem and the development sector, we stimulate digital innovation to deliver both sustainable business and large-scale socio-economic impact for the underserved.
The Women in the Digital Economy Fund (WiDEF) is a five-year $60 million initiative funded by the United States Agency for International Development (USAID) and the Bill & Melinda Gates Foundation (BMGF). The Women in the Digital Economy Fund aims to identify, directly fund, and accelerate investment in proven solutions to improve women’s livelihoods, economic security, and resilience.
About the Role
The Assistant Operations Manager role will be an exciting opportunity for an individual with a passion for women’s digital inclusion as a key to economic growth. You will be working as a part of the team supporting solutions for women’s equitable and affordable access to digital technology.
The WiDEF programme is being delivered as a multi-organizational Consortium. You will support the Senior Operations Manager as well as the broader WiDEF team in ensuring smooth programme delivery by liaising with the Consortium, subject matter experts, compliance/finance, legal, HR, and marketing. Specifically, you will be responsible for the following:
- Assist the Senior Operations Manager with tracking and reporting programme deliverables and KPIs
- Assist the Senior Operations Manager with internal and external reporting;
- Track and maintain programme travel logs, ensuring the team is aware of the required process and budget available;
- Track team expenses against available budget and ensure team members submit expenses on time;
- Maintain timesheet schedule and support team with timely and accurate submissions;
- Support procurement, contracting, and supplier management through designing Requests for Quotes, selecting suppliers, raising Purchase Orders, invoices and service contracts;
- Support the team with event planning and logistics;
- Maintain shared folder filling system
About You
The ideal candidate will display the following skills and qualifications:
Hard skills
- Demonstrable operations and project management experience with donor-funded projects, innovation funds, or an interest in operationalizing nonprofits. Experience working on USAID-funded projects preferred.
- Demonstrable experience in managing programmes within a complex compliance environment
- Proven experience in managing procurement processes
- Proven experience in managing project level activities focused on achieving results
- Strong escalation management skills, to ensure that issues receive attention and mitigation support from senior stakeholders
- Ability to absorb complex information and communicate effectively at all levels to both expert and non-expert audiences
- Proficiency using Office (i.e. Excel and PowerPoint), MS teams, Workday, Monday.com, Fluxx, ActivityInfo, and other project and grant management software is required
Soft skills
- Demonstrable emotional intelligence skills and influencing skills
- Demonstrable experience of stakeholder management, including managing upwards
- Good presentation and speaking skills desirable
- Strong ability to drive collaboration through identifying a common objective
- Ability to manage overlapping activities and prioritise
- Experience working internationally and in cross-cultural environments
- Demonstrable structured and methodical thinking
- Can-do attitude, willingness to learn and apply new skills
